Cómo puedes liberar tu mente anotándolo todo

Yo por mi parte, voy a continuar con la serie de artículos en los que te cuento mi experiencia personal en relación a hábitos que he implantado en mi día a día.
En esta ocasión te voy a hablar de las bondades de anotar. De liberar tu mente de recordar tareas, eventos y citas y dejar esa responsabilidad a cualquier herramienta (digital o no) que te permita tomar notas y consultarlas posteriormente.

La mente para lo que es
Una de las metodologías más seguidas en productividad personal se llama «Getting Things Done», más comúnmente conocida como “GTD”.
El método GTD surge a raíz del libro Getting Things Done de David Allen publicado en 2001. Fue una publicación muy aceptada (aún lo es) y en la actualidad hay un montón de libros, web y programas de formación relacionados con GTD.
Cuando descubrí GTD, me llamó la atención el pilar básico sobre el que se asienta. Es el siguiente: «Tu mente es para tener ideas, no para almacenarlas».
Defiende que nuestro cerebro es más eficiente creando y procesando que almacenando, así que propone liberarlo de la tarea de almacenar anotando todas las tareas que deban realizarse en una bandeja de entrada externa.
De esta forma en vez de recordar todas las tareas que tenemos que hacer, sólo hay que recordar consultar nuestra bandeja de entrada.
El método GTD va mucho más allá y especifica entre muchas otras cosas cómo gestionar la bandeja de entrada y cómo clasificar, estudiar y procesar las diferentes tareas que se encuentren en ella.
Sin embargo, yo decidí empezar por probar su concepto base antes de meterme a fondo con la metodología.
Anotando todo
Lo primero que hice fue plantearme anotar todas las tareas profesionales que tenía que hacer, aunque no tuvieran fecha y hora definidas para su realización.
Normalmente todos solemos apuntarnos las tareas que tienen fecha y hora fijas (por eso se inventaron las agendas), como reuniones, llamadas, citas, etc. Sin embargo, no solemos hacer lo mismo con aquellas tareas que no tienen una fecha concreta definida.
Mandar un presupuesto, responder un correo a un cliente o revisar un documento son ejemplos de tareas sin fecha definida. Quizás alguna haya que hacerla «esta semana» o «este mes», pero no por eso se suele anotar en ningún sitio.
Yo también actuaba de esta manera, así que me hice con una herramienta digital de gestión de tareas y me empecé a anotarlo todo tuviera fecha definida o no.
Primeras impresiones
Parece que esto pinta bien
En la primera semana del proceso, me di cuenta de que el hecho de anotarlo todo además de contribuir a liberar mi mente de recordar las tareas a realizar, me estaba ayudando a planificarme mejor.
Hasta ese momento había muchas tareas que hacía «por inercia» según era consciente de que había que hacerlas, normalmente a costa de interrumpir lo que sea que estuviera haciendo en ese momento.
Esto me sucedía principalmente cuando alguien me pedía algo directamente. Bien sea por email, teléfono o incluso cara a cara cuando una persona te pide algo sentimos un deseo irrefrenable de hacerlo inmediatamente para «quitárnoslo de en medio».
Un ejemplo típico es responder correos electrónicos. Cuando se recibe la notificación de un nuevo correo, una fuerza invisible nos lleva a abandonar la tarea que tenemos entre manos para leerlo y, si lo requiere, también responderlo.
Yo, en vez de eso, cuando me entra una nueva tarea mientras estoy haciendo otra, la anoto junto al resto de las tareas y sigo con lo que estaba haciendo.
Haciendo esto me he dado cuenta que realmente hay muy pocas cosas (en condiciones normales, ninguna) a las que haya que atender inmediatamente dejando todo lo que estés haciendo en ese momento.
Todo puede esperar hasta la próxima revisión de la lista de tareas pendientes.
Un cliente puede esperar a que le llames porque estás reunido, un compañero puede esperar a que termines un informe para atenderle, incluso el jefe puede esperar si estás terminando algo importante.
Todas esas tareas las vas a realizar con más calidad y en menos tiempo si las anotas y planificas previamente, por no hablar de esa pobre tarea que has tenido que dejar a medias por atender la supuesta urgencia.
Poco a poco, aprendí a decir «Ahora no puedo, pero te atiendo en cuanto acabe con…», en vez de «Sí, dime». No fui el más popular de la oficina durante un tiempo, pero desde entonces las urgencias que tengo que atender han disminuido considerablemente.
Las listas de tareas
Una vez que me acostumbré a apuntarlo todo, lo siguiente que necesitaba eran listas de tareas.
Por defecto GTD propone anotar todas las tareas en una bandeja de entrada general y regularmente procesarla para decidir cuándo y cómo se va a realizar cada una de ellas.
Yo, sin embargo, he decidido anotarlas y procesarlas en la misma acción puesto que las tareas que anoto son tareas concretas que se pueden realizar en menos de una jornada de trabajo.
En otro artículo te contaré como gestiono mis proyectos y llevo a cabo mi planificación basada en semanas, pero para este post sólo te adelantaré que tengo una lista para cada día laborable de la semana y otra más para Algún día.
Eso suma un total de 6 listas en las que anoto todas las tareas que deben ser realizadas y su prioridad dentro de ese día (dada por su posición en la lista, cuanto más arriba, más prioritaria).
En la siguiente captura puedes ver como es mi lista de tareas para mañana (hoy es 26 de Febrero de 2019) en uno de mis tableros de Trello (más información sobre esta herramienta en este artículo).
Día preparado
Con este sistema, cuando surge una nueva tarea a realizar la anoto inmediatamente en su lista correspondiente según el día que la vaya a hacer, y le asigno además una prioridad para su realización dentro de ese día.
La lista Algún día la tengo para apuntar todas esas cosas que se me ocurre que me gustaría hacer, pero no tienen cabida en la semana en curso.
La lista del día actual la consulto cada vez que acabo una tarea para saber cuál es la que va a continuación y siempre termino una tarea antes de pasar a la siguiente.
Conclusiones
La principal conclusión que te puedo contar después de casi un año de anotar todas mis tareas profesionales es que liberar la mente da mucha tranquilidad.
Saber que no se te escapa nada, y que además haces las tareas más relevantes antes que las demás, te proporciona mucha paz.
Aprovecho mejor mi tiempo, dejo muchos menos proyectos inacabados y soy capaz de poner fechas de finalización (y cumplirlas) a tareas y proyectos.
Anotar todo también me ha servido como punto de partida para dar más pasos en mi organización y planificación, como saber identificar las falsas urgencias, delegar con más eficiencia o tener reuniones mucho más cortas y productivas. De esto también hablaremos en futuros artículos.
