Guía para hacer el doble en la mitad de tiempo 🙂

Hace algún tiempo tratamos el tema de las prioridades en Biffwin. En ese artículo, te recomendaba que para definirlas correctamente había que fijarse en tres propiedades que tiene toda tarea: importancia, urgencia e intensidad.
Pues bien, en esta entrada me voy a centrar en la intensidad y en cómo usarla para emplear tu tiempo de forma más eficaz.

Energía e intensidad
La intensidad mide el esfuerzo que debemos hacer para llevar a cabo una tarea. Determina la cantidad de energía y atención que debemos emplear para realizarla satisfactoriamente.
No necesariamente la intensidad está relacionada con la importancia, pero sí que es habitual que las tareas de alto impacto también requieran un alto esfuerzo para ser completadas.
Del mismo modo que las tareas tienen intensidad, las personas también tenemos periodos en los que disponemos de gran energía, capacidad de atención y concentración y otros en los que estas capacidades son más bajas.
Estos periodos varían en función de muchos factores como la condición física, el entorno o el cansancio, entre otros.
Golden time

El primer paso para poder adecuar la intensidad de las tareas a los periodos de tiempo en el que las haces, es identificar lo que yo llamo periodos de «Golden time» e «Iron time».
Seguramente habrás notado que en algunas ocasiones eres capaz de realizar una tarea en poco tiempo, que hay veces en las que te sientes «enchufado» u ocasiones en las que estás tan inmerso en algo que no eres consciente del paso del tiempo.
Se trata de características por las que puedes identificar tus «Golden time», es decir aquellos periodos de tiempo en los que tienes más energía, ganas y motivación. Esos momentos en los que eres más productivo, en los que notas que avanzas con facilidad.
Algunas de estas fases de alta productividad más habituales son:
- Las primeras horas de la mañana, al haber descansado durante la noche y estar frescos y con la mente despejada.
- Los primeros días de la semana al tener menos cansancio acumulado.
Iron time
Pero los períodos de alta productividad también tienen su antagonista: los «Iron time». Son lapsos de tiempo en los que estás más espeso, aquellos en los que notas que te cuesta mucho tiempo y esfuerzo terminar una tarea, esos momentos en los que te distraes con facilidad.
También es importante que identifiques estos periodos, de modo que seas consciente de cuando tu predisposición a realizar tareas pesadas es más baja.
Algunos de los habituales en este caso son:
- A primera hora de la tarde, cuando nuestro cuerpo está ocupado haciendo la digestión de la comida.
- Los viernes por la tarde, cuando nuestro cerebro ya está pensando en el fin de semana.

Estos periodos existen debido a que las personas tenemos un «reloj interno» de 24 horas. Este reloj es el que nos marca cuando dormir, cuando estar despierto, comer, etc.
Este reloj marca el paso de nuestro «día interno», que a su vez se divide en ciclos que se conocen como ciclos ultradianos. La manera en la que pasamos de unos ciclos a otros la marcan los ritmos ultradianos que han sido (y todavía siguen siguen) siendo ampliamente estudiados.
Estos ritmos no son fijos, sino que varían en cada persona y aunque hay algunos más comunes que otros, para descubrir los de cada uno es necesario hacer una pequeña investigación.
Así que te voy a proponer que conozcas los tuyos mediante una sencilla técnica: durante una semana valora en una escala de 0 a 10 tus valores de energía, foco y motivación en cada bloque de tiempo de trabajo.
Entendiendo como bloques de tiempo de trabajo aquellos periodos de trabajo efectivo, es decir los que se encuentran entre periodos de descanso o breaks.
De esta forma, cuando vayas a empezar uno de estos bloques anota la hora y tus valores de energía, foco y motivación en ese momento. No te lo pienses mucho a la hora de puntuar, simplemente anota la primera que te venga a la mente.
También puede ser útil que acompañes estas puntuaciones con comentarios o sensaciones que tengas en ese momento. Por ejemplo, esa interesante conversación que hizo aumentar tu motivación, o ese paseo por el parque que te cargó las pilas para que volvieras al trabajo con un extra de energía.
Analiza y asigna
Una vez tienes todos los datos y sabes cuándo se dan tus periodos “Golden” e “Iron”, solo queda un paso por hacer y además se trata del más importante: asociar las tareas adecuadas a cada uno de tus ciclos ultradianos.
De esta forma, reservarás tus «Golden time» para resolver problemas, encontrar respuestas o tomar decisiones importantes. En estos períodos realizarás tus tareas más pesadas y aquellas que requieren un mayor esfuerzo, energía y concentración.
Y de forma análoga asignarás tus «Iron time» para las tareas más livianas, las que requieren menos recursos o aquellas más rutinarias y automáticas. Tareas que son necesarias, pero que no precisan que tu energía esté al máximo para llevarlas a cabo.
Protege lo valioso
Protección ante todo
Tan importante como saber qué es lo que tienes que hacer durante tus períodos de tiempo más productivos, es saber lo que NO tienes que hacer.
Los «Golden time» son escasos y valiosos, por lo que debes protegerlos evitando hacer cualquier tarea que no esté a la altura de ellos. Precisamente para estas tienes tus «Iron time».
Antes de descubrir esta metodología, yo hacía muchas tareas menores durante mis periodos de mayor energía. He descubierto que muchas de ellas son recurrentes y también que se repiten en una gran número de personas.
Así que en base a esta información, me gustaría proponerte una lista cosas de NO debes hacer en tus «Golden time»:
- No planifiques: decidir qué vas a hacer en el futuro no es una tarea pesada ni de alto impacto. Lo que realmente tiene importancia es hacer aquello que planificas y no la planificación en sí, por lo que debes reservar tus periodos de mayor productividad para HACER y no para planear.
- No consultes el correo electrónico: chequear tu correo, tu mensajería instantánea o tus redes sociales no es una tarea relevante. Todas estas tareas implican atender a prioridades de terceros y no a las tuyas propias.
- No permitas interrupciones: protege tus «Golden time». Silencia el móvil, desactiva notificaciones y avisa a compañeros que durante esos periodos no te interrumpan. Cuida tus momentos de máxima productividad porque es en ellos dónde surge la magia 🙂
