¿Puedes tener tu bandeja de entrada vacía sin entrar a tu gestor de correo?
No nos gusta perder el tiempo. No queremos emplear gran parte de nuestra jornada haciendo tareas rutinarias. El correo electrónico es una de ellas, pero es tan rutinaria como necesaria. ¿Cómo se puede gestionar sin emplear apenas tiempo? ¿Cuál es el truco?
Los asuntos y las motos
Todos los sábados, llueva o esté soleado, sea verano o invierno salgo con un grupo de amigos a dar un paseo en moto. A veces nos juntamos más de 20 motos por la carretera, todo un espectáculo.
Todos tenemos algo en común, un asunto que nos une a todos: la pasión por las dos ruedas.
Ningún sábado ha acudido a nuestras rutas ningún ciclista, ni aficionado a los 4x4, ni ningún entusiasta de los tractores. Sólo lo han hecho personas que comparten nuestra misma afición, que tienen nuestro mismo asunto.
Si no esperamos a ciclistas en las rutas en moto ¿Por qué enviamos correos electrónicos cuyo contenido no tiene nada que ver son su asunto?
Hoy te voy a hablar de:
- El asunto del correo está para algo.
- Usa y haz que usen el asunto de los correos.
- Automatiza la gestión de tu correo gracias a los asuntos
El asunto del correo está para algo
Que pereza nos da poner asuntos a nuestros correos y que molesto es el aviso del gestor de correo cuando se nos ha olvidado poner uno y nos avisa: ¿Estás seguro que quieres enviarlo sin asunto? Bueno, si te vas a poner así espera que pongo uno.
Pero el asunto no es una molestia, sino una fuente muy importante de información.
Piensa en esto un momento: con un asunto descriptivo y fiel a lo que se dice en un correo, no te hará falta abrirlo para que sepas de que trata.
Podrías saber los puntos más importantes del contenido de un correo en base a su asunto y al remitente. ¿No sería fantástico poder hacer eso?
Y con esta habilidad podrás hacer cosas increíbles como:
- No tener que abrir un correo para saber de qué va. Imagina no tener que abrir todos y cada uno de tus correos para ver que dicen, sino tener una idea de su contenido directamente desde tu bandeja de entrada.
Si en tu bandeja la mayoría de tus correos tienen de asunto “Re: …” seguro que se tratan temas que ya nada tienen que ver con su asunto.
Ya sabes a que correos me refiero, a esos en los que hay 523 replys de los que 522 son totalmente irrelevantes y no aportan nada a lo que se está tratando.
¿Te imaginas poder cambiar eso y que el asunto sea un fiel resumen del contenido de tus correos?
- Categorizar tus correos para su tratamiento. Ya no te hará falta leer y responder a todos los correos cada vez que te enfrentes a tu bandeja de entrada. Sólo responderás y gestionarás lo que te interese en cada momento.
Si sabes de que va un correo antes de abrirlo, puedes categorizarlo para atenderlo luego, mañana, la semana que viene o nunca.
Así es exactamente como funciona el filtro de SPAM de tu correo, se basa en ciertos parámetros para categorizar un correo como SPAM y después lo trata como tal.
¿Por qué no haces tú lo mismo con el resto de tu correo? Con asuntos descriptivos puedes hacerlo.
Usa y haz que usen el asunto del correo
Lo primero que tienes que hacer si quieres recibir correos con asuntos correctos, claros y descriptivos, es empezar a usarlos tú.
Ya sabes que hay que dar antes de pedir.
Antes siquiera de poner un dedo en el teclado, ya sabes de que va a tratar el texto que vas a enviar. Ahí tienes el asunto, sólo te queda escribirlo.
Cuida tus asuntos para que sean lo más descriptivos, claros y detallados posible. Que ayude a saber que cuentas en el cuerpo del correo.
El asunto “Presupuesto” o “Presupuesto solicitado” no dice mucho. Puede ser de cualquier cosa, puede incluso ser un correo comercial o un presupuesto no solicitado.
Sin embargo “Presupuesto acción formativa productividad evento Empresarios Solidarios”, da mucha información adicional y son sólo 5 palabras más.
Pero tu bandeja de entrada no sólo contiene respuestas a correos que has enviado tu y que tienen un asunto cuidado. Hay muchos correos que han originado otras personas.
Por eso tienes que pedir a tus contactos que cuiden los asuntos de tus correos.
Se que es difícil, que no quieres ser el “raro” o que no te gusta molestar. Pero tu tiempo está en juego, ¿vas a renunciar a más tiempo para ti por quedar bien? ¿por no molestar?
Yo sigo un método que me da muy buenos resultados para que mis contactos mejoren los asuntos de sus correos. Sólo tiene tres pasos superfáciles de seguir:
- Recibes un correo con un asunto poco descriptivo o que forma parte de una cadena cuyo contenido nada tiene que ver con el asunto.
- Responde al correo, pero modificando el asunto. Y si es un correo cadena elimina también todo el hilo de correos que sean irrelevantes.
- En tu correo de respuesta empieza diciendo que has modificado el asunto del correo porque te parecía poco descriptivo, y que crees que así será más fácil seguir lo que se dice en el.
No solo tendrás un asunto más descriptivo, sino que muchos de tus interlocutores te agradecerán el cambio y reconocerán que así está mucho mejor.
Después de aplicar esta técnica un par de veces con los mismos contactos, empiezan a usar asuntos más descriptivos y dejan de alimentar hilos de correos cuyo contenido no tiene nada que ver con su asunto.
¿Por qué no la pruebas?
Automatiza la gestión de tus correos gracias a los asuntos
Las reglas del correo electrónico. Esa herramienta tan olvidada y tan infravalorada. ¿Tu usas reglas en tu gestor de correo?
Si combinas un asunto claro y descriptivo con las reglas de correo puedes hacer cosas increíbles. ¿Te imaginas una bandeja de entrada vacía de forma automática?
Es casi magia.
Imagina que automáticamente tus correos entrantes se movieran al sitio que les corresponde. Por proyecto, por tema, por urgencia, por prioridad… ¡las posibilidades son infinitas!
¿Sabes el tiempo que puedes ganar atendiendo sólo lo que es más prioritario en cada momento?
¿Estás esperando la confirmación de un presupuesto importante? Sólo tienes que echar un vistazo a la carpeta “Presupuestos” a ver si hay nuevo correo.
¿Necesitas saber si te han aprobado la financiación que pediste? Mira a ver si hay nuevos correos en la carpeta “Financiero”.
¿Pendiente de información relevante para arrancar el proyecto de la empresa ACME? Desvía tu atención a la carpeta “ACME”.
Y así con TODO.
Con el tiempo y constancia ¡vaciaras tu bandeja de entrada automáticamente!

- Usa y haz que usen el asunto de los correos.
- Automatiza la gestión de tu bandeja de entrada
